Scan Out Inventory

Track and process products as they leave your warehouse

The Scan Out Inventory feature in Appliance.io helps you record and process products as they leave the warehouse for delivery, pickup, or installation. By scanning items before they go out, you ensure every product is properly tracked, assigned to the correct order, and fully accounted for — reducing errors and improving delivery accuracy.

This process is a critical step in your delivery workflow and provides real-time confirmation that orders are ready to go.


📍 Accessing Scan Out Inventory

Before you begin, make sure your order has been assigned to a truck in the Routing page. If an order is not assigned, the truck will not appear in Scan Out Inventory.

To access Scan Out Inventory:

  1. Open the sidebar and click Deliveries.

  2. In the top-right corner of the page, click Scan Out Inventory.

You’ll now be taken to the Scan Out Inventory workspace, where you can begin processing outgoing items.


🧾 Step 1: Set Up Your Scan Session

At the top of the page, configure your scan session by selecting:

  • Delivery Method

  • Delivery Date

  • Report Name

These details help organize scanned items and generate accurate records for your deliveries. Once completed, proceed to selecting a truck.


🚚 Step 2: Select a Truck

You’ll see a list of trucks that have orders assigned to them.
Select the truck that contains the items you want to scan.

Only trucks with assigned orders will appear here.


🔎 Step 3: Choose a Scanning Method

Next, choose how you want to enter product information:

  • Scanner Gun, or

  • Manual Input

Select the option that best fits your workflow.


🆔 Step 3.5: Register a UPC Code (If Needed)

In rare cases, an item may not have a registered UPC code.
If this happens, click Register UPC Code in the top-right corner.

From here:

  • Enter the UPC Code

  • Select the appropriate Model Number

This ensures the item can be scanned and properly tracked.


📦 Step 4: Scan Items

To scan an item:

  1. Enter or scan the UPC Code or Model Number

  2. Enter the Serial Number

  3. Click Scan

Each serial number must be unique.
If a serial number has already been used, the system will notify you and prompt you to enter a different one. If multiple items with the same model number exist on the same truck, you’ll be asked to choose which order the item belongs to.


👀 Step 5: Preview Scanned Data

As items are scanned, they will appear in the Preview Data section.
This view shows:

  • Which items have been scanned

  • Which items are still pending

Use this section to verify that all products are accounted for before processing.


✅ Step 6: Process the Scan

Once all items have been scanned, click Process.

In the Preview Data section:

  • The Order Number will turn green

  • The Status will update to Scan Completed

This confirms the scan-out process was successful.


📄 Step 7: Confirm Scan Completion

Return to the Deliveries page.
You’ll now see the order’s status updated to Scan Completed, indicating it’s officially ready for delivery, pickup, or installation.
