This update ensures that payments collected through in-showroom credit card terminals and phone payments now trigger the same internal payment notification emails as other supported payment methods.

Previously, terminal and phone payments were successfully recorded in the system, but internal notification emails were not sent to the salesperson or configured team members. This created operational gaps and often required manual follow-up to confirm payment completion.

With this update, terminal and phone payments now follow the same notification workflow as existing supported payment methods, helping internal teams stay informed and move orders forward more efficiently.


Why This Feature Exists

Internal payment notifications are a critical part of the order workflow. Teams rely on these emails to continue the next steps of the sales and fulfillment process, including:

  • Confirming sales

  • Coordinating logistics

  • Updating accounting records

  • Preparing deliveries

  • Communicating with buyers

When terminal and phone payments did not trigger notifications, teams could miss important handoffs, causing delays and confusion.

This update improves consistency across payment methods and ensures payment notifications behave as users expect.

Accessing Payment Notifications

No additional setup is required.

Once a payment is successfully captured through a terminal or phone payment flow, the system automatically sends internal payment notification emails using the same existing notification rules already configured for supported payment methods.

⚠️ Important: This update only applies to payments processed through AIO Pay terminal and phone payment flows.


Step 1: Collect Payment Through Terminal or Phone

Start by collecting payment using either:

  • In-showroom credit card terminal

  • Phone payment flow

The payment process remains unchanged for sales users.


Step 2: Payment Is Successfully Captured

Once the payment is approved and captured:

  • The payment is recorded in the system

  • The invoice payment status updates successfully

  • Internal payment notifications are automatically triggered

This behavior now matches the notification flow used for online card payments and other supported payment methods.


Step 3: Internal Teams Receive Notifications

After payment capture, notification emails are automatically sent to:

  • Sales person associated with the order

  • Assigned internal team members

  • Other configured recipients based on existing notification settings

This helps teams immediately recognize that payment has been completed and continue the next operational steps without manual confirmation.


Step 4: Consistent Notification Behavior Across Payment Methods

Users do not need to configure separate notification rules for terminal or phone payments.

Terminal and phone payments now follow the same notification behavior already used by:

  • Online card payments

  • Existing supported AIO Pay payment methods

This creates a more reliable and predictable payment workflow across all supported payment channels.


What Is Not Included in This Phase

This update only applies to supported AIO Pay terminals and phone payment flows.

Other payment methods outside of AIO Pay are not affected by this release.

Before

  • Terminal and phone payments could be completed successfully without sending internal notification emails

  • Teams often require manual follow-up to confirm payment completion

  • Notification behavior was inconsistent across payment methods

Now

  • Terminal and phone payments trigger internal payment notifications automatically

  • All configured recipients receive notifications consistently

  • Notification behavior now matches other supported payment methods

This closes the gap between successful payment capture and the internal team's awareness.
