How To Transfer Inventory

Move stock between locations — accurately, traceably, and efficiently

The Transfer Inventory feature in Appliance.io lets you move items from one storage location to another — quickly, accurately, and with full traceability. Whether you’re restocking a warehouse, sending inventory to another branch, or organizing products for a salesperson, this tool ensures every movement is properly documented and accounted for.


🚚 What is Transfer Inventory?

Transfer Inventory gives you complete visibility when moving items between storage locations. Every transfer is tracked with full details — from the origin and destination to who initiated the transfer — so your records stay consistent across all locations.

It’s especially useful for:

  • Restocking multiple stores or warehouses

  • Tracking salesperson stock movements

  • Organizing and balancing your inventory levels

Everything stays transparent, auditable, and easy to manage.


📍 In-Transit & Transfer Log

To access it, head to the sidebar and click Transfer Inventory.
You’ll see two main tabs:

  • In-Transit – Shows transfers that have been sent but not yet received.

  • Transfer Log – Lists all completed and received transfers.

In the In-Transit tab, you can refine your list using six filters:

  • Search

  • Origin

  • Origin Storage Location

  • Destination

  • Destination Storage Location

  • Sales Person

Need to start fresh? Click Reset Filter to clear everything.


🧾 Creating a Transfer

To create a new transfer, click Add Transfer Inventory.

At the top, you’ll find the Transfer Details, which include:

  • Transfer Number (auto-generated and locked)

  • Barcode

Then move on to Scan Inventory and follow these steps:

  1. Select Origin

  2. Select Destination

  3. Enter the Model Number (able to enter more than one)

  4. Choose the Condition

  5. Click Scan Inventory


👀 Preview & Confirm Transfer

After scanning, scroll to the Preview Data section.
This area lists all scanned items ready for transfer.

Select the items you want to move, then scroll down to the bottom. You have two options:

  • Mark as Fully Received – this skips the In-Transit step and completes the transfer immediately.

  • Transfer Inventory – this sends the items to the In-Transit tab to be received later.


📦 In-Transit Details

Each transfer record includes:

  • Transfer Number

  • Barcode

  • Origin & Destination

  • Total Quantity

  • Date Created

  • Sales Person

  • Action Menu

Click the dropdown arrow beside any transfer to view:

  • Model Number

  • Stock Type

  • Condition

  • Order Number

  • Quantity

  • Cost

From the Action column, you can:
Receive, Print, Edit, or Delete the transfer.


📥 Receiving a Transfer (Method 1)

To complete a transfer, click Receive in the Action column.

A Receive Transfer pop-up will appear.
Match the received quantity with the expected quantity, then click Complete Received.

After confirmation, click Yes, Complete — and that’s it!
The transfer moves automatically to the Transfer Log tab, keeping all details intact.


🔢 Receiving a Transfer (Method 2)

Alternatively, you can receive items directly from the top-right corner.
Click Receive Transfer (next to Add Transfer Inventory).

You can choose between:

  • Scanner Gun – For quick barcode scanning.

  • Manual Input – For manual entry.

Enter the Barcode or Transfer Number, then click Go to display the transfer instantly.


⚠️ Handling Mismatched Items

Sometimes, you may not receive all items in a transfer. That’s okay!
You can leave an item unreceived — it’ll be flagged as mismatched.

However, if you click Complete Received while items are still unmatched, a warning will appear:

“Any unreceived items will be returned to their origin.”

Once confirmed, the Transfer Log will show a mismatch between expected and received quantities — keeping all discrepancies fully documented.
