Inventory Overview

Master your appliance inventory from track, move, to manage stock.

The Inventory system in Appliance.io gives you a complete view of your stock lifecycle β€” from purchasing and transfers to warehouse tracking and reconciliation. It’s designed to help you stay accurate, organized, and in control, whether you manage one location or many.


πŸ“ Accessing Inventory

To begin, open the sidebar and click Inventory.

Inventory management in Appliance.io is handled across three main areas:

  • Inventory Page

  • Transfer Inventory Page

  • Purchase Orders Page

Each section plays a role in tracking where your products are and how they move through your business.


πŸ“¦ Inventory Page Overview

The Inventory page shows your stock organized by status, so you always know exactly where items are in the pipeline.

  • Requested

  • Available On Order

  • Reserved on Order

  • In Warehouse

  • Available

  • Reserved

These statuses represent the full journey of an item β€” from being ordered to being ready for sale or already committed to a customer.

You can select multiple items using the checkboxes on the left to delete them in bulk. However, items with an active quantity cannot be deleted. To remove them, click the box icon inside a status column to open the detailed pop-up and delete eligible entries individually or in bulk.

πŸ”— Multi-Brand & Shared Stock

Some products may appear as Multi-Brand or Shared Stock.

Multi-Brand means a single physical product is linked to multiple brand labels β€” for example, Whirlpool, Amana, and Maytag β€” while still representing the same inventory unit.

Shared Stock shows the total quantity across those brands in one combined count. This prevents duplicate tracking and keeps inventory numbers clean and accurate.

πŸ” Using Filters

As your inventory grows, filters help you find items instantly.

You can filter by:

  • Location

  • Type

  • Condition

  • Status

  • Brand

  • Category

Filters allow you to narrow large inventories into manageable views, making daily operations faster and more efficient.

πŸ†• Register Model Number

If you’re onboarding new products, use Register Model Number.

This feature lets you:

  • Add models individually

  • Upload models in bulk

It’s ideal when importing large catalogs or expanding your product lineup.

πŸ“Š Reconciling Inventory

Reconciliation ensures your system matches what’s physically in your warehouse.

We recommend reconciling inventory at least once per week.

Steps:

  1. Go to the Create Worksheet tab to generate a worksheet

  2. Open the Worksheet tab and click Match

  3. Review results

  4. Check the Log tab for a permanent reconciliation record

The log acts as your audit trail for future reference.

🏷 Storage Locations & Reports

If a single address contains multiple storage areas, Appliance.io lets you track them individually.

Click a location on any model to see all storage locations connected to that address.

You can also export inventory reports instantly as:

  • PDF

  • CSV

These reports are useful for audits, planning, and performance reviews.


🚚 Transfer Inventory

The Transfer Inventory page allows you to move stock between locations.

There are two tabs:

In-Transit – Transfers that are waiting to be received
​Transfer Log – A full history of completed transfers

To create a transfer:

  • Click Add Transfer Inventory

  • Select items and destination

  • Use Receive Transfer when stock arrives

This keeps multi-location inventory synchronized and traceable.


🧾 Purchase Orders Page

The Purchase Orders page is where new inventory is officially entered into your system.

Click Receive Inventory to process incoming stock using one of several methods:

  • By PO Number FIFO

  • By PO Number

  • Import by CSV

  • Goods Receipt history

Each method supports different receiving workflows and maintains a detailed history of purchased items.
