Damage Allowances

Track and resolve damaged product claims with clarity and control

The Damage Allowance feature in Appliance.io helps you track, manage, and resolve claims for damaged products in a clean and organized way. Whether a claim is still being reviewed or already resolved, this tool gives you full visibility into every damage report β€” making follow-ups, documentation, and resolution simple and efficient.


πŸ“ Accessing Damage Allowances

To get started, open the sidebar and click Reports.
Under Management Tools, select Damage Allowances.

This page is your central hub for all damage-related claims.

At the top of the page, you’ll also see a Subscribe button. Click it to receive email notifications whenever there’s an update to a damage report β€” perfect for staying in the loop without checking manually.


πŸ” Filtering & Organizing Reports

To help you find exactly what you need, the Damage Allowance page includes several filters:

  • Search bar

  • Date

  • Brand

  • Location

  • Delivery Method

  • Driver

If you ever want to clear all applied filters, simply click Reset Filter.

You’ll also see two main tabs:

  • Open – Displays all active, unresolved damage claims

  • Resolved – Shows claims that have already been completed

Reports move from Open to Resolved once their status is updated.

Need to share or save your data? Click Export to download reports as a PDF, CSV, or Excel file. Exports will follow the filters you currently have applied.


βž• Creating a Damage Allowance Report

To create a new report, click the Add button.

A pop-up will appear with two sections:

πŸ“¦ Order Details

Start by entering the Order Number. This should match the order that includes the damaged product.

Next, enter the Model SKU. If the order contains multiple models, make sure you select the correct one.

Then, enter the Serial Number β€” this step is required. A Damage Allowance cannot be created without a serial number.

Adding a Serial Number:

If the serial number hasn’t been added yet:

  1. Open the Order page

  2. Click In Warehouse & Reserve

  3. Click Add next to the model

  4. Enter a unique Serial Number and click Save

Once saved, return to the Damage Allowance form and enter that serial number.

After the serial number:

  • Enter the Amount Offered β€” the compensation provided to the customer

  • Upload up to three photos as proof of damage

πŸ“ Damage Allowance Details

Next, complete the Damage Allowance Details section:

  • Date of Damage

  • Driver Name

  • Description (optional)

  • Resolved Notes

The Resolved Notes field is required β€” even if the report is not yet resolved. This allows the report to be marked as resolved later. You can always edit this field from the Open tab.

Once everything is filled out, click Save.

After saving, the report will appear in the Open tab with all the details you entered.


πŸ“± Reporting Damage from the Driver App

Damage can also be reported directly from the Driver App, making it easy to capture issues during delivery.

To submit a damage report from the app:

  1. Scroll to the bottom and tap Report Now

  2. Select the Order

  3. Choose the affected Model

  4. Select the Serial Number

  5. Add a short Description

  6. Upload photos as proof

  7. Tap Submit

Once submitted, the report will appear in the Open tab on the Damage Allowance page.

To complete a driver-submitted report:

  • Edit the Amount Offered

  • Enter the Credit Amount

  • Update the Resolved Notes


βœ… Finalizing Driver-Submitted Reports

When the claim is ready to be completed, click the green arrow next to the report.
This moves it into the Resolved tab, keeping your records clean and organized.
