The Quote Creation process in Appliance.io makes it easy to build accurate and professional quotes for your customers. From adding products to selecting fulfillment options and taking payments, you’ll have complete control every step of the way — all without leaving the platform.
📍 Accessing Quote Creation
To begin, click Start a Quote from the top left of any page on the platform.
Search for your existing customer, select their name when it appears, then click Next.
That’s it — your new quote has been created! You’ll see your quote number displayed at the top.
All quotes automatically include a 2-week expiration date, allowing you to track and follow up with customers directly from your My Quotes page.
🧾 Step 1: Billing & Delivery Information
Each quote starts with two main sections: Billing Information and Delivery Information.
You can edit either section at any time using the pencil icon ✏️.
If the customer’s address isn’t found, simply enter it manually. You can also choose from saved addresses for that customer.
The quote will display the location where it was generated for easy tracking.
➕ Step 2: Adding Line Items
Click + Line Item to begin adding products to your quote. All appliance data is preloaded for quick selection by model number.
For items not in the system, select Custom Product and manually enter details like:
Condition
Quantity
Price
Description
This is perfect for non-serialized items, such as range cords.
If you sell scratch and dent or multi-condition inventory, you can choose the condition after selecting the model number. Your running total will update automatically at the bottom.
💲 Step 3: Pricing & Analytics
Once your item is added, pricing details appear automatically.
You can modify prices directly by clicking the field.
The Pricing Analytics feature helps you make smart pricing decisions with data on:
MSRP, MAP, and UMRP
Lowest Advertised Price
Competitor Pricing
Custom Pricing
You can even filter pricing trends by time frame.
Note: Pricing rules and analytics only apply to new condition items.
For non-new items — such as Scratch & Dent, Floor Models, Loans, or Used units — pricing must be set manually, either directly on the quote or within your inventory.
Sales representatives should always follow company guidelines or check with their manager before adjusting pricing.
🚚 Step 4: Fulfillment Options
Next, choose your fulfillment type — already configured in your Settings.
Options include:
Local Delivery & Install
Local Delivery Only
Pickup
Customer Not Sure
You can also add pre-set installs by selecting from your standard install templates.
To simplify the view, collapse line item details using the arrow next to each product.
🛡 Step 5: Add Protection, Haul Away & Scheduling
Add Protection Plans for individual items, or include Haul Away options if your store offers them.
Your total automatically updates as you add services.
Auto-Scheduling makes fulfillment seamless!
When activated, customers receive a text once items are in stock and can schedule their own delivery.
To enable this feature:
Settings > Customer Notifications > SMS > Scheduling Link
When turned on, the Auto Scheduler appears on all quotes and orders.
📝 Step 6: Notes
Add notes to your quote and choose visibility:
Delivery Notes – printed on the invoice and visible to drivers.
Customer Notes – shared with customers and printed on the invoice.
Company Notes – internal only, not visible to customers.
💳 Step 7: Taking Payment
If a customer has store credit, a banner will appear at the top of the quote. You can apply credits, take deposits, or process payments in full.
Payment methods include:
Manual Entry – record external payments (credit card, check, cash, transfer, or write-off)
Financing Options – Synchrony, Wells Fargo, Acima, or Snap
AIO Pay – for internal processing
Approval codes are always required for manual entries.
Once payment is received, your quote automatically converts into an order using the same number.
📄 Step 8: Review & Download
Access the Select Action Menu to download your invoice.
Invoices display all essential details — from billing and delivery info to product descriptions, pricing, and salesperson contact information.
⚠️ Step 9: Fixing Zip Code Errors
If you see a Zip Code Warning, it means the entered zip code isn’t yet added to your delivery or pricing zones.
To fix:
Copy the zip code.
Go to
Settings > Delivery Schedule.Edit the zone and paste the zip code.
Do the same under Pricing Zones.
Don’t forget to add a comma after each zip code!
✉️ Step 10: Emailing the Quote
Easily send quotes directly to customers:
From the Select Action Menu, choose Email.
Enter one or more addresses.
Customize your subject line and message.
Choose to include or exclude model numbers.
Customers will receive a professional email with a PDF copy of the quote attached.
