Upload large inventory batches quickly and accurately

The Import Inventory by CSV feature in Appliance.io is designed to help you receive a large volume of inventory in just a few steps. It’s especially useful during onboarding for new clients or anytime you’re adding bulk stock. By using a structured CSV template and built-in validation, you can upload inventory confidently while minimizing errors.


📍 Accessing Import Inventory by CSV

To get started, follow these steps:

  1. Open the Purchase Orders page.

  2. In the top-right corner, click Receive Inventory.

  3. From the dropdown, select Import by CSV.

This will open the inventory import workflow.


⚙️ Configure Import Details

Before uploading your file, you’ll need to set a few required fields:

  • Stock Inventory Location

  • Storage Location

  • Condition

⚠️ Important: The Condition you select determines which CSV template you must use. Make sure the condition matches your inventory exactly, as each condition requires its own template.

Once everything is set, continue to the upload step.


📄 CSV Upload Rules

To ensure a smooth import, follow these guidelines carefully:

  • Use the CSV template provided by the system

  • Do not modify the column headers

  • Enter data exactly as shown in the template

  • Save the file in CSV format

  • Upload one condition per file (create separate files for different conditions)

Following these rules helps prevent upload errors and validation issues.


⬆️ Upload & Preview Your File

When your file is ready, upload it to the import section.

You can click Preview File to review the data before importing. The preview shows key details such as:

  • Model Numbers

  • Brand

  • Quantity

  • Cost

Even if some model numbers are not yet registered in the system, they will still upload — they’ll simply be flagged during validation.

If there are any issues, a validation message will appear explaining exactly what needs to be fixed.

When everything looks good, click Import.


📊 Import Validation Summary

After importing, you’ll see the Import Validation Summary, which categorizes your inventory into three groups:

  • Categorized Models
    These models are fully recognized and ready to use.

  • Normalized Models
    These models were automatically corrected by the system due to minor typos and successfully matched to existing records.

  • Uncategorized Models
    These models were flagged with warnings because they aren’t registered yet.

Uncategorized models can’t be added to quotes or orders until they’re resolved — but you have several options to fix them.


🛠 Resolving Uncategorized Models

From the summary, you can choose to:

  • Download the Unregistered CSV

  • Send the file to the Skulytics Team for review

  • Register the models yourself

If you need guidance, you can click the provided link to view the full list of authorized brands and categories.

📩 Send to Skulytics Team

To request assistance, click Send for Data Correction.

The Skulytics Team will review your models and add them to the system if everything checks out. You’ll receive a notification once the update is complete.

🧾 Register Models Manually

If you prefer to handle it yourself, click Register Models.

You’ll be taken to the Register Model Number popup in the Inventory page, where you can choose between:

  • Single Model Registration, or

  • Bulk Registration via CSV

Download the registration template, add your models, then upload or drag and drop the file.

After uploading, you’ll see a preview. If an unknown category is detected, a warning icon with a tooltip will appear. This helps ensure accuracy before models are used for quotes or orders.

To resolve these warnings, create a custom Brand or Category. A dedicated tutorial is available to guide you through this process.

Once registration is successful, repeat the inventory import so the models can be added correctly.
