The Quote feature in Appliance.io is where every sale begins. It allows you to create, edit, and manage customer quotes before they become orders. From products and pricing to delivery details, notes, and payments, the Quote page gives you full control to build accurate, professional quotes and move customers confidently toward checkout.
Accessing the Quote Page
To get started, click Start a Quote; you’ll find it in the top-left corner of every page in the POS.
From there:
Select the Location where the quote is created
Choose the Salesperson managing the quote
Start typing the Customer’s name
Click Next
You’ll be taken directly to the Quote page.
Quote Number & Customer Class
At the top of the page, you’ll see the Quote Number.
For example: 1-208324
The first number represents the location number
The numbers after the dash show how many quotes have been created at that location
Next to it is the Customer Class, which acts as a tag to identify the type of quote:
Retail
Web
Trade
Project
This helps with reporting, filtering, and internal organization.
Notifications, Delete, & Select Action
On the top-right corner of the Quote page, you’ll find several powerful tools:
Bell Icon (Custom Notifications)
Send internal reminders to your team. You can set the date, time, and message body.

Use this if the quote was created by mistake.Select Action Menu
Your shortcut to managing the quote efficiently, including printing documents, emailing customers, scheduling visits, processing returns, and more.
Quote Expiration & Tracking
Below the quote number, you’ll see a 2-week expiration date.
This helps you track quotes that may need follow-up. Expired and active quotes can always be reviewed from the My Quotes page.
Billing & Delivery Information
The Billing and Delivery Information section contains the customer’s contact and address details.
You can edit this section by clicking the pencil icon. From here:
Clicking the email opens a pre-filled email draft
Clicking the address opens Google Maps
Clicking the phone number initiates a call
Choosing an Existing Customer
While editing billing information, you can select Choose From Existing Customer.
This automatically fills in details from a saved customer — similar to copying customer information.
Delivery Confirmation & Customer Records
For delivery confirmation, you can select from the customer’s saved addresses or add a new one.
Note: If you edit customer information directly on the quote, those changes apply only to this quote.
To permanently update customer records, click the customer’s name to open their Customer Profile.
Company & Salesperson Information
Next to the billing and delivery section, you’ll see:
Your company location where the quote was generated
The salesperson managing the quote
Below that, you can:
Send an invoice directly to the customer’s email
Copy a link that sends the customer to the Customer Portal
Line Items
On the left side of the page, you’ll find Line Items.
This is where you add products to the quote.
Line items include product details, pricing, discounts, and taxes.

Customer Credit
The Customer Credit section appears in blue for easy visibility.
This shows how much available credit the customer can apply to the quote.
When applied, customer credit can:
Reduce the balance due
Fully pay the quote if the credit covers the total

Notes
You can add notes to the quote by clicking Add Notes.
We highly recommend adding Delivery Notes for any quote or order involving delivery.
There are four types of notes:
Delivery
Customer
Internal
Line Item
You can also attach files if needed.
To set a default note that appears on every quote for a customer, update it from the Customer Profile.
Total Balance Due
On the right side of the page, you’ll see the Total Balance Due.
This section updates automatically once line items are added.
It reflects payments, customer credit, taxes, and the final amount owed.
