Getting Started with Quotes & Orders on Appliance.io

Create quotes, convert them into orders, and track fulfillment from start to finish

Welcome to Appliance.io! Quotes and orders are the foundation of your daily workflow. This guide gives new users a clear, high-level understanding of how to create a quote, turn it into an order, and follow it through inventory, delivery, and completion β€” all without getting overwhelmed by details.


πŸ“ Creating Your First Quote

You can start a quote from any page in the platform by clicking Start a Quote in the top-left corner.

Basic steps:

  • Search for and select an existing customer

  • Click Next to generate the quote

  • A unique quote number is automatically created

  • Quotes default to a 2-week expiration and can be viewed anytime on the My Quotes page

From here, you’ll review and edit:

  • Billing information

  • Delivery information

  • Saved or manually entered addresses

  • The location where the quote was created


βž• Adding Products & Pricing

Once your quote is open, you can begin adding items.

Add line items by:

  • Searching by model number

  • Creating custom products for items not in the system (e.g., range cords, non-serialized items)

Each item allows you to set:

  • Condition (new, scratch & dent, etc.)

  • Quantity

  • Price and description

You’ll see a running total update automatically at the bottom of the quote.


πŸ’² Smart Pricing & Analytics

Appliance.io includes built-in pricing tools to guide your decisions.

You can view:

  • Your listed price

  • MSRP, MAP, and UMRP

  • Competitor pricing

  • Custom pricing rules and trends

Prices can always be adjusted manually β€” just be sure to follow your company’s pricing guidelines.


🚚 Choosing Fulfillment & Add-Ons

For each line item, select how it will be fulfilled:

  • Local delivery & install

  • Local delivery only

  • Pickup

  • Customer not sure

You can also add:

  • Pre-set install services

  • Protection plans

  • Haul-away options

All services and fees are clearly broken down in the order total.


πŸ—“ Auto-Scheduling (Optional)

If enabled, Auto-Scheduling allows customers to schedule their own delivery once items are in stock.

  • Customers receive a text with a scheduling link

  • Delivery updates happen in real time

  • Controlled in Settings β†’ Customer Notifications β†’ SMS


πŸ“ Notes & Communication

Quotes and orders support multiple note types:

  • Delivery notes (for drivers, printed on invoices)

  • Customer notes (visible to the customer)

  • Company notes (internal only)

You can also email quotes directly from the Select Action menu, with the PDF automatically attached.


πŸ’³ Payments, Rebates & Financing

Quotes become orders once payment is applied.

Supported options include:

  • Customer credit

  • Partial or full payments

  • Financing providers (Synchrony, Wells Fargo, Acima, Snap)

  • Manual payments (cash, check, bank transfer)

  • AIO Pay (built-in processor)

  • Manufacturer rebates

Once paid, the quote becomes an order using the same number.


πŸ“¦ Understanding Order Status & Workflow

After payment, orders move through clear fulfillment stages:

Common order statuses:

  • Check Stock – locate or request inventory

  • On Order – item ordered from the manufacturer

  • Reserved – item received and assigned to the order

  • Scheduled – delivery date selected

  • In Transit – item scanned out for delivery

  • Delivered – order completed

Each status is represented by intuitive icons, making it easy to understand progress at a glance.


πŸš› Delivery & Post-Delivery

Once delivery is scheduled:

  • Items move to the Scheduled tab

  • Delivery dates can be changed if needed

  • Customers receive live tracking links

After delivery, you’ll have access to:

  • Delivery confirmation

  • Driver-uploaded photos

  • Customer signature


πŸ’‘Tips for New Users

  • Orders cannot proceed if a ZIP code isn’t assigned to a delivery or pricing zone

  • You can schedule delivery only after all items are in stock

  • Fulfillment types can be updated at any time before delivery
