Learn about all of the flexible search functions in Inventory!

New to the Inventory Page? Let me guide you through the filters and different ways to find exactly what you're looking for!

First, head over to the Inventory page on the sidebar. This is your home base for managing all your products. Right off the bat, you'll notice several handy filters:

Click 'Requested'

Condition,

Click 'Select Condition'

and Product Status.

Click 'Active Models'

We're gonna break each one down, so stick with me—starting with Inventory Type. Think of Inventory Type as a snapshot of where your stock stands in the supply chain. Here’s the lowdown:

Click 'Select Inventory Type'

Inventory Types

Requested: You've requested this stock, but it hasn’t been ordered from the vendor yet. It’s in the "waiting room."

Click 'Requested'

Available on Order: This stock is on its way from the vendor—not here yet, but you can still reserve it for future orders.

Click 'Available On Order'

Reserved on Order: Same as "Available on Order," but this stock is already claimed for a specific customer order.

Click 'Reserved On Order'

In Warehouse: The big picture. This is the total amount of stock physically sitting in your warehouse—both available and already reserved.

Click 'In Warehouse'

Available: This is the ready-to-go stock that isn’t tied up in any customer orders. You can sell this immediately.

Click 'Available'

Reserved: Stock that's spoken for. It’s set aside and can't be sold to anyone else.

Click 'Reserved'

Conditions

Next up: Condition. You can tweak these categories in Product Catalog Settings to match your business needs. Here are some go-to conditions we recommend:

Click 'Select Inventory Type'

New: Fresh out of the box, brand-new unit. These always appear for sale on your website if marked as Available.

Click 'New'

Scratch & Dent: Perfectly functional but with minor cosmetic flaws—like scratches or dents from handling or shipping. If marked as Available, these will show up on the website with this condition clearly displayed.

Click 'Scratch & Dent'

Used: Previously loved. This stock has been used in a customer’s home and isn’t in its original packaging. Used items marked as Available will be visible for sale on your website with this condition noted.

Click 'Used'

Floor Model: These are display units from your showroom. They might show light wear but are tested and fully functional. Accessories and original packaging? Not always guaranteed. Floor Models will never appear as available for sale on your website, but store managers can sell them through the POS system if needed.

Click 'Floor Model'

Open-Box: Almost new. Usually a customer return or a lightly used display item. Fully functional with little to no wear, but the original packaging and accessories may or may not be included. Open-Box items marked as Available can be sold on your website with a clear condition label.

Click 'Open-Box'

Demo: These units were used for demos or testing. They work perfectly but might show light signs of use. Packaging and accessories could be missing. Demo units will not be visible for sale on your website, but they can be manually sold through the POS.

Click 'Demo'

Loaner: Temporarily used as a replacement or trial product. Fully functional with some light signs of use. It may or may not include any packaging and accessories. Loaner items are for internal use and will never show as available for sale on your website.

Click 'Loaner'

TIP

Quick note, you can only have 2 conditions listed on the website and one of them must be new. For example, you can have new and used or new and open box displayed on the website.

Product Status

Finally, let’s break down Product Status. This tells you where a product stands in terms of availability and usage:

Click 'Select Inventory Type'

Active Models: These products are currently available for sale. If marked as Available, they will show up on your website.

Click 'Active Models'

Discontinued Models: No longer in production, but if you’ve still got 'em in stock, you can sell 'em. They’ll appear on your website if marked as Available until they sell out.

Click 'Discontinued Models'

Custom Models: Manually added by you using the "Register Model" feature. These unique, one-of-a-kind products won't show up on the website.

Click 'Custom Models'

Includes for Display: These products are reserved specifically for in-store display. They won’t show up as for sale online, but store managers can manually sell them through the platform if needed.

Click 'Includes For Display'

Includes replacements: Set aside as replacement units for customers. Not available for sale on the website and can’t be sold through standard platform transactions.

Brands

Here you can select a specific brand you wish to include in your search.

Select Categories: This filter is designed to mirror the search functionality available on the website, offering highly customized options to help you narrow your search when you need to be specific.

You can also begin by entering a keyword in the top search bar.

and get to that filtered result a little faster!

Range

Resetting Filters

If you need to back that search up a bit, you can remove specific selections by x-ing them out

Or start fresh by clicking the reset filters option!

Exporting

One last thing, at the top - you can export your search results as either a PDF or a CSV file -

and if you only want to export specific line items, just checkmark them before selecting the export feature.
