Appliance.io uses a clear, structured inventory lifecycle to ensure accurate stock tracking, efficient sales allocation, and smooth fulfillment. Every appliance moves through five distinct inventory stages, giving your team full visibility from manufacturer request to final delivery.

Understanding these stages helps prevent overselling, streamline operations, and maintain accurate inventory records across your business.

๐Ÿ“ฆ Inventory Lifecycle Overview

Inventory in Appliance.io progresses through the following stages:

  1. Requested

  2. On Order

  3. In Stock

  4. Reserved

  5. Delivered

Each stage reflects the product's current status and determines the next actions.

๐Ÿงพ Stage 1: Requested

The Requested stage represents inventory that is being requested from the manufacturer but has not yet been ordered.

Key rules for Requested inventory:

  • Inventory requests can only be created when there are no units currently On Order or Available.

  • Requests must be initiated from the receiving location where company inventory is managed.

  • Requests cannot be made from other locations or branches.

This stage ensures inventory demand is properly tracked before placing an official order.

๐Ÿšš Stage 2: On Order

On Order inventory includes items that have been ordered from the manufacturer but have not yet arrived at your warehouse.

What makes this stage powerful:

  • Items can be reserved before they arrive, allowing sales teams to allocate inventory early.

  • Helps secure products for customer orders or internal needs in advance.

  • Improves planning and reduces delays once inventory is received.

This stage bridges procurement and sales readiness.

๐Ÿ“ฆ Stage 3: In Stock

In-Stock inventory refers to items that have been received at the warehouse and are physically available.

At this stage:

  • Items are not yet assigned to any customer.

  • Inventory is ready to be sold or reserved.

  • Products are fully available for immediate allocation.

This stage confirms the product is on-site and ready for fulfillment.

๐Ÿ”’ Stage 4: Reserved

Reserved inventory represents items that have been sold and assigned to a specific customer but not yet delivered.

Why this stage matters:

  • Inventory is locked to a customer order.

  • Items remain on-site until delivery or pickup.

  • Prevents double-selling or accidental reallocation.

Once reserved, the item is no longer available for other sales.

๐Ÿš› Stage 5: Delivered

The Delivered stage indicates that inventory has been successfully handed over to the customer and removed from active stock.

Important notes:

  • For third-party delivery services, the status changes to Delivered as soon as the third party takes possession of the item.

  • The transaction is considered complete.

  • The product exits the companyโ€™s inventory system.

This final stage closes the inventory lifecycle.

โœ… Why Inventory Stages Matter

  • Prevent overselling
