How to Receive Inventory

A quick guide on how to Receive Inventory

Hey there! In this quick walkthrough, we’re going to show you all the different ways you can receive inventory in the system — whether you’re working off a purchase order, importing from a spreadsheet, or adding items one by one.

Where to Start

First, start on the Purchase Orders page.

Look up at the top right corner of the screen — you’ll see a button that says Receive Inventory. Go ahead and click that.

Click 'Receive Inventory'

You’ll see five options pop up.

Goods Receipt

We’re gonna start from the bottom and work our way up, beginning with Goods Receipt.

Click 'Goods Receipt'

A goods receipt is a record created when inventory is received into the warehouse from a manufacturer, distributor, or another store location. It confirms what was actually delivered and is critical for tracking inventory accurately- To dive into the details of any receipt, just click the Expand button.

Click 'expand_more'

Here you’ll see all the good stuff, like model, order number, serial number, customer name, PO number, cost, quantity, salesperson, and who scanned it in. Super handy when you need to double-check anything.

Import by CSV

Next Up, Import by CSV.

Click 'Import by CSV'

This feature allows you to import a large amount of data at once. This is ideal for new clients who are onboarding and want to load in their existing inventory. Start by selecting your stock inventory location, storage location, which is optional, and condition.

If you don’t have the template yet, no worries — there’s a button to download the CSV file.

Once you’ve filled it out, just upload it here.

Want to double-check your file? Click Preview File to see what’s inside.

Click 'Preview File

You’ll see the model number, brand, quantity, and cost.

If everything looks good, hit Save.

Click 'Save'

You’ll get a little pop-up confirming the import was successful.

Click 'Data import completed sucessfully'

By Single Item

Now let’s talk about receiving your inventory by single items.

Click 'By Single Item'

Use this when you’re adding a new model that isn’t in your inventory yet — or when you want to increase the quantity of an existing one - This skips the Purchase Order process and goes straight into inventory.

Click 'Ballwin'

Just fill in the item details, then choose the stock type: Available means it’s ready to be sold. Ordered means it's on the way but not here yet.

Click 'Add Inventory'

If the item's condition isn't brand new, you can also fill in the price and serial number right away — and it’ll show up in your digital price tags.

Enter the PO number, estimated availability, and scheduled arrival date.

Click 'Stock  Add Stock

Once everything’s good to go, hit Add Inventory.

Click 'Add Inventory'

Then, you can double-check that it was added by heading over to the Inventory page.

By PO#

Second on the list — Receive Inventory By PO Number.

Click 'By PO#'

This one's for when you're scanning in inventory that’s linked to a specific purchase order. Just a heads-up — these filters work from left to right. So if you start by using the vendor filter, the next filters — like PO number and model — will only show results related to that vendor. They won’t include anything that doesn’t match your first selection. It’s a good way to narrow things down fast.

Click 'Report Name :'

You can use the Inventory page or Purchase order open tab to look for the PO number

Let’s say we want to use PO number 234. First, we go to the Inventory page, find the PO number, and copy it.

Click '234'

Then we paste it into the search bar here.

Click 'Search PO Number'

Once your order pops up, check the box next to it.

Click here

Before you create the goods receipt, you can also rename the report to make it easier to track later- By default, it’ll just be named after the date it was made — but feel free to update it to something more specific.

Once you're ready, click Create Goods Receipt.

Confirm by clicking Yes, Continue —

Click 'Yes, Continue'

and boom! You’ll get a pop-up saying it was scanned successfully.

Click 'Success! Your items has been scanned in'

By PO# FIFO

And last but not least, is By PO# FIFO

Click 'By PO# FIFO'

What is FIFO?

Let’s break this one down for a sec. FIFO stands for First In, First Out — it’s an inventory method that makes sure the oldest stock gets sold or used first. In the appliance world, that means the first appliances to hit your warehouse, or in this case, the first order, are the first ones that go out for delivery or installation. Why is that important? It keeps your inventory fresh, avoids selling outdated models, and helps with warranty timelines, promotions, and accurate financial tracking. Basically, it's a win-win all around.

So, how do you use FIFO? Same steps as before — search by vendor, PO number, or model.

You can also grab the PO number from the Inventory page,

Then paste it into the FIFO search bar.

Once your orders show up, you’ll notice they’re listed in the order they were received. For example, order #189 shows up first, followed by order 191 — that’s FIFO in action.

Check the boxes, click Create Goods Receipt

Click 'Create Goods Receipt'

Confirm with Yes, Continue

Click 'Yes, Continue'

And you’re done! You’ll see the success pop-up, and your items are officially scanned in.

Click 'Success! Your items has been scanned in'
