Hey there! In this video, we’re going to give you a quick walkthrough of one of the most important things you'll manage: Inventory. If you're new to the appliance world and don’t know where to start, don’t worry. We’ve got your back. This is just the overview, and we’ll link more in-depth tutorials down below for each section. Let’s get into it!
Where to Find It
Inventory is mostly handled on two main pages: The Inventory page,
And the Purchase Orders page. Let’s start with the Inventory page.
Model Status
On the Inventory page, you can track your stock based on its status, like: Requested, Available On Order, Reserved on Order, In Warehouse, Available, and Reserved. Each of these shows you exactly where your stock is in the pipeline. Want more details? We’ve got a separate article here.
Multi-Brand and Shared Stock
Now, you might be wondering — “Why does this item have multi-brand and shared stock?”Let’s break it down.
Multi-Brand just means that the same item is linked to multiple brands — for example, Whirlpool, Amana, and Maytag. It’s the same physical product, just with different brand labels. This helps when you’re managing stock that’s functionally identical but sold under different names.
And then there’s Shared Stock. This refers to the total stock of an item, regardless of which brand name it’s under. So, instead of tracking 3 of each separately, Shared Stock shows you the full quantity available across all brands. It keeps things clean and easy—no duplicates, no confusion.
Inventory Filters
Need to find something fast? Use the filters! You can filter by: Location, Type, Condition, Status, Brand, and Category. Easy, right? We also cover filters in their own tutorial—check this article if you want to go deeper.
Register Model Number
Now, if you're just getting started, click Register Model Number. This lets you add or update model numbers in the system.
You can register models one by one, or upload in bulk if you’ve got a whole list to enter.
Purchase Model Stock
Let’s head over to the Purchase Orders page. This is where you actually purchase stock and bring it into your inventory.
Click Receive Inventory, and you’ll see a few options for how to receive items: By PO number, First In-First Out, Single item, Upload via C S V, or through Goods Receipt, where you’ll see a full history of what you’ve received. We cover this more fully in our “How to Create a Purchase Order” guide.
Transfer Inventory
Got stock at multiple stores? You can move inventory between locations by clicking Transfer Inventory.
There’s a Transfer tab where you enter the move,
And a Transfer Log, where you’ll see a record of every transfer you’ve made. (Again, we’ve got a full tutorial for that—click here.)
Reconcile Inventory
Now here’s a big one: Reconciling Inventory. This is where you match what’s in your warehouse with what’s in the POS. We recommend doing this at least once a week.
Start by going to the Create Worksheet tab to generate a worksheet.
Then, head to the Worksheet tab and hit Match to compare inventory data.
All reconciliations get recorded in the Log tab, so you’ve always got a paper trail. Here's the full coverage of Reconcile Inventory
Storage Location
Want to organize storage areas within the same address? You can do that too! If you see a model available in multiple spots, just click the location,
It’ll show you all the additional Storage Locations tied to that address.
Export PDF/CSV
And finally, need a quick report of your inventory? Just hit Export PDF or Export CSV, depending on what format works best for you.
