The Inventory Management system in Appliance.io gives you complete visibility into your stock — from incoming purchase orders to warehouse locations and reconciliations. Whether you're new to appliance retail or scaling operations, this guide walks you through everything you need to know to keep your inventory accurate, organized, and running smoothly.
📍 Accessing Inventory Management
Your inventory workflow is managed primarily across two pages:
Inventory Page
Purchase Orders Page

📦 Inventory Page
The Inventory Page shows you every item in your system, categorized by status. These statuses help you understand exactly where each product is in the pipeline. You’ll see categories like:
Requested
Available On Order
Reserved on Order
In Warehouse
Available
Reserved
Each status gives you a clear picture of movement — from ordered stock on the way, to warehouse inventory ready for sale.
Before we move on, here’s a helpful tool: you can check the boxes on the left of each item to delete in bulk. But here’s the catch — you cannot delete any item that has a quantity, regardless of its status. To delete these items instead:
Click the box icon inside one of the status columns.
A pop‑up will appear.
From here, you can delete items in bulk or one by one.
Once cleared, you can return to the main page and delete them in bulk as needed.
🔗 Multi-Brand & Shared Stock Explained
You may notice that some items appear under multiple brand labels. That’s because Appliance.io supports multi-brand and shared stock, which simplifies stock management.
Multi-Brand
This means the same physical item is linked across multiple brands — for example, Whirlpool, Amana, and Maytag. It’s the same product internally, just sold under different brand names.
Shared Stock
Instead of tracking multiple duplicate entries, Shared Stock shows the total quantity available across all connected brands. No duplicates. No confusion.

Looking for something specific? Use the built‑in filters:

Type
Condition
Status
Brand
Category
Filters help you locate items instantly, especially in large catalogs.
📝 Registering Model Numbers
If you're just getting set up, click Register Model Number. You can:
Register models one by one, or
Upload them in bulk if you’re entering a large list.
This ensures every product you carry is properly structured in your system.
🛒 Purchase Orders Page
The Purchase Orders Page is where you buy inventory and bring it into the system.
Click Receive Inventory, and you'll see several receiving options:
By PO Number
First In – First Out
Single Item
Upload via CSV
Goods Receipt (full history of received items)

🔁 Transfer Inventory
If you have multiple store locations, you can move stock easily.
There are two tabs:
Transfer — where you initiate the move.
Transfer Log — where all past transfers are recorded.

🧮 Reconciling Inventory
Keeping your POS and warehouse in sync is essential. We recommend reconciling at least once a week.
Here’s how:
Go to the Create Worksheet tab and generate a new worksheet.
Open the Worksheet tab and click Match to compare system and physical counts.
All reconciliations are stored in the Log tab — giving you a complete history for accountability.

📍 Organizing Storage Locations
If an item is stored in multiple areas within the same address, simply click the location. You’ll see all assigned Storage Locations tied to that address.
This is especially useful for large warehouses or multi‑zone storage facilities.
