Getting Started with Inventory Management on Appliance.io

Order, receive, track, and move inventory with confidence

Welcome to Appliance.io! Managing inventory is a core part of your daily workflow, and our platform is designed to keep everything accurate, connected, and easy to follow. This guide gives you a high-level walkthrough of the full inventory lifecycle β€” from creating purchase orders to reconciling stock and transferring items between locations.


🧾 Creating Purchase Orders

Purchase Orders help you track what you’ve requested, ordered, and received β€” even when orders are placed through manufacturer portals.

How it works
You’ll continue placing orders directly with your vendors. Once placed, simply record the order in Appliance.io so it stays linked to inventory, costs, and reporting.

Where to find it
Navigate to Purchase Orders from the sidebar. You’ll see three tabs:

  • Requested – Items waiting to be ordered

  • Open – Orders placed but not yet received

  • Purchase Order History – A complete record of past orders

Select one or multiple requests, click Add to Purchase Order, enter availability dates, costs, and backorder status, then save. Your requests will move automatically into Open and History.


πŸ“¦ Receiving Inventory

Once inventory arrives, you’ll scan it into the system to make it sellable and traceable.

From the Purchase Orders page, click Receive Inventory and choose the method that fits your workflow:

  • By PO Number – Receive items tied to a specific purchase order

  • By PO FIFO – Receive inventory using First-In, First-Out logic

  • By Single Item – Add inventory without a purchase order

  • Import by CSV – Upload large batches during onboarding

  • Goods Receipt – View detailed receipt records and scan history

Each method creates a goods receipt, ensuring inventory levels and costs stay accurate.


πŸ” Understanding Inventory Filters

The Inventory Page gives you full visibility into your stock, powered by flexible filters.

You can filter by:

  • Location & Storage Location

  • Inventory Type (Requested, Available, Reserved, In Warehouse)

  • Condition (New, Open-Box, Scratch & Dent, Floor Model, etc.)

  • Product Status (Active, Discontinued, Custom)

  • Brand & Category

These filters mirror how customers search on your website, helping you quickly locate exactly what you need. You can also export filtered results as a PDF or CSV.


βœ… Reconciling Inventory

Regular reconciliation keeps your physical stock aligned with what’s recorded in the system.

How it works

  • Create a Worksheet from the Inventory page

  • Scan items using a scanner or manual entry

  • Enter physical quantities

  • Match scanned items to warehouse stock

  • Adjust quantities, costs, and storage locations as needed

Once saved, the worksheet log provides a clear audit trail of all changes.


🚚 Transferring Inventory Between Locations

Need to move stock between warehouses, stores, or salespeople? Use Transfer Inventory.

You can:

  • Create transfers by scanning items

  • Track items In-Transit

  • Receive transfers at the destination

  • Handle partial or mismatched transfers with full documentation

Every transfer is logged with origin, destination, quantities, and timestamps β€” keeping inventory movements fully traceable.
